Vacation Calendar HOW-TO

 

Create Public Folder Calendar:

  1. 1.The Vacation calendar will need to be created by a user with Admin rights to Public Folders.  From the Mail view in Outlook, right click on Public Folders and choose New Folder…: 

  2. 2.Name the folder, set Folder contains: to Calendar Items, and set Select where to place the folder: to Public Folders. Then click OK: 

  3. 3.The new folder should now be displayed under Public Folders: 

  4. 4.Right click on the new folder and select Properties…: 

  5. 5.Select the Folder Sharing Tab: 

  6. 6.To grant other users access to this Calendar, click the Add… button and add the appropriate permissions. In most cases, you will want to add all of the users in your domain. This can be done by selecting Authenticated user from domain under Allow access to folder for: and verifying that you domain is listed. Then, click OK: 

  7. 7.Change Access from Reader to Editor for Authenticated user (domain.tld) by clicking on that entry and selecting Editor at the bottom of the window. Click Apply and OK to save your changes. Please note, anyone with Editor access can change existing calendar entries. If this is a concern, you may want to limit Editor access to more specific people. 

Creating an event on the Vacation Calendar:

  1. 1.While displaying the Vacation Calender, right click within the calendar and select New Appointment: 

  2. 2.Fill in the details appropriately. The Subject should help others know that you will be off. If you invite yourself, this event will also be added to your personal calendar: 

  3. 3.Click Yes here: 

  4. 4.Click Send Anyway: 

  5. 5.Click Yes:
